What data do we collect?

Candidate data: In order to provide the best possible employment opportunities that are tailored to you, we need to process certain information about you. We only ask for details that will genuinely help us to help you, such as your name, contact details, education and professional training, and employment history.

People whose data we receive from candidates, such as Referees: In order to provide you with employment opportunities we may need to take references. For this we only ask for very basic contact details of the Referees, so that we can contact them for a reference. Folio does not use this information for any other purpose.

 

How do we collect your personal data?

We only collect personal data directly from you; we do not receive personal data from third parties. Our website does not use cookies.

Contact forms: We request information from the user on our online contact form. Here a user must provide their name, email address, a CV and information regarding the type of work they are looking for. This information is used to enable us to provide you with work-finding services. This contact information is used to get in touch with you in order to discuss your work requirements further. Folio does not use this information for any other purpose.

You contact us directly: If you call or email us, we request you email across your CV and a cover letter outlining your experience and the type of work you are seeking. This information is used to enable us to provide you with work-finding services. This contact information is used to get in touch with you in order to discuss your work requirements further. Folio does not use this information for any other purpose.

LinkedIn: We contact candidates via LinkedIn. If you are contacted and ask to be kept informed of work opportunities, we will take your email address and phone number. This contact information is used to get in touch with you in order to discuss your work requirements further. Folio does not use this information for any other purpose.

Referrals: Where candidates are referred to us directly, we will take their details (email address, phone number and CV). This contact information may be used to get in touch with them in order to discuss their work requirements further. Folio does not use this information for any other purpose.

 

How do we use your personal data?

Recruitment activities:

The main reason for using personal details is to help you find employment, or other work roles. The more information we have about you, your skillset and ambitions, the more bespoke we can make our service.

We’ve listed below the various ways in which we use the data in order to facilitate this.

– Storing details (and updating them when necessary) on our database, so that we can contact you in relation to recruitment activities

– Keeping records of our conversations and meetings on our database, so that we can provide targeted information to you.

– Storing emails on our Microsoft Outlook email server.

By submitting your personal information to Folio, you agree to us storing and handling your personal information in this way. At any time, you can decide not to provide certain information or ask that any information previously shared with us is removed.

How do we safeguard personal data?

Candidate data is stored on cloud database ‘Voyager Infinity’ from Ikiru People Ltd. Folio has the appropriate measures in place with Ikiru to ensure they are compliant with data protection law.

How long do we keep personal data for? If we have not been in contact with you (or, where appropriate, the company you are working for or with) for a period of 10 years, we will delete your personal data. We will only keep your personal information for as long as is required to provide you with our recruitment services and for as long as we are required by law (such as accounting or other legal purposes).

Correcting and updating personal information: If your personally identifiable information changes (such as email address, postal address or phone number), we will endeavour to correct, update or remove the personal data provided to us. This can usually be done by emailing team@foliorecruitment.co.uk
